Petra ships generic. This page is the one place to write down what is true for your church — names, clocks, tools, rules — and points to the page where each value is used. Copy it, fill it in, keep it with your team's planning tool; the public runbook stays blank. Policy pages do not carry a second copy of these values.

You must fill in before your first Sunday — the tables below. A blank is a leadership decision still to make, not something a volunteer should guess.
Name the pastor (or delegate), Director, Worship Lead, Song Selector, Tech Lead — and tell the team
Give every teammate the church protection policy and the designated reporter’s name/number; confirm background-check / training requirements (blocking if minors serve)
Link the emergency / evacuation plan; know AED, first aid, exits; name the day-of urgent channel
Record tools (schedule, plan, chat, charts, files) in Tools & Systems; credentials stay out of the repo
Set the weekly clock (below); put service-specific exceptions in that week’s plan
Decide which roles are combined locally and who decides when the usual owner is absent
Confirm the rehearsal-attendance rule and its exception path with pastoral leadership; explain it at onboarding before anyone accepts a schedule
Record licensing coverage and the reporting owner (below)
Walk the runbooks in the building with one experienced leader and one newer volunteer; replace local jargon; check every instruction can actually be followed
Give every teammate: the Playbook, their role charter and handout, the plan link, the weekly clock, and the absence / safety / care contacts
30 days in: ask volunteers what was unclear, missing, or unrealistic; re-check after any incident, gear or leadership change, or church-policy revision
