Availability & Swaps

Blocking out

  • Keep availability current in the scheduling tool.
  • “Maybe” is not a plan — convert to yes/no as soon as you can.
  • Extended travel or busy seasons: block early so leaders can recruit.
  • Availability means rehearsal and service. If you cannot attend the prior rehearsal, do not accept the slot unless a lead has already granted a named exception (cover, simplify, or release). Disclosure is not permission.

Swap rules

  1. You own finding a qualified replacement (listed for that role on the roster, or signed off by the Worship Lead / Tech Lead) unless leadership releases you. The cover takes the rehearsal and the service.
  2. Propose the swap in the official tool or designated workflow — not only a side text.
  3. Swap is not final until both people and the swap confirmer (Director, or the domain lead — see Our Congregation) confirm.
  4. Last-minute swaps (<24h): phone the Worship Lead, Tech Lead, or Director as appropriate — don’t only post.

Declining a schedule

  • Decline early; silence creates thrash.
  • If patterns of late declines emerge, leaders will talk — not in the group chat.

No-shows

  • First time: care check + clear expectation reset
  • Pattern: may pause scheduling until trust is rebuilt
  • True emergency: tell someone as soon as possible; we will cover you

Health

If you are contagious or truly unwell, stay home. A thin band beats a sick room.
